Great opportunity in Newcastle’s CBD to join a  leading independent real estate agency as an experienced administrator to take ownership of the sales process from the moment a property is listed through to settlement.

This is the role that holds everything together. You'll be the person who knows where every file sits, what's outstanding, and what happens next, keeping agents, vendors, purchasers, solicitors and third parties moving in the same direction. It suits someone who takes genuine satisfaction in a well-run process and who would rather prevent a problem than fix one.

You won't be doing it alone. You'll have the support of an experienced remote professional and an onshore Operations Manager, so your focus can stay on judgement, oversight and the parts of the process that need a senior head.

What you'll be doing

  • Managing the end-to-end sales administration process from listing through to settlement
  • Preparing and processing listing documentation, agency agreements and sales advices
  • Liaising with vendors, purchasers, solicitors, conveyancers and other agencies to keep transactions on track
  • Tracking cooling-off periods, deposits, conditions and settlement dates, and following up anything outstanding
  • Coordinating agent marketing inc campaign bookings, copy, photography, signage and portal listings
  • Coordinating in-house promotion and brand activity
  • Maintaining accurate records in the CRM and ensuring compliance obligations are met
  • Delegating to and reviewing the work of the remote support role, and working alongside the Operations Manager on process improvement
  
Ideal Experience required

  • Ideally solid experience in real estate administration, ideally across the listing-to-settlement process, OR from closely related industries such as conveyancing, legal, property management, finance, insurance or settlements; who have strong crossover skills and want to move into real estate.
  • Strong organisational skills and genuine attention to detail — you notice the thing that's missing
  • Confident communication with clients and third parties, including when a deal is under pressure
  • Comfort managing several transactions at different stages at once
  • The ability to work independently and take ownership, while supporting a small team
  • Great verbal & written communication skills
  • The ability to work in the agency office full time – Newcastle CBD
Also useful, but not essential

  • Basic trust accounting experience
  • Experience with real estate CRM and marketing platforms
  • A NSW Certificate of Registration or Real Estate Licence
